The problem

Referrals aren’t a pipeline.
They’re a coin flip.

  • No proactive outreach

Revenue depends on referrals and word-of-mouth. When those slow down, there’s nothing in the funnel behind them.

  • Gatekeepers block access

Property managers, facility directors, and procurement executives are the buyers. Getting to them is the whole game — and cold calling rarely does it.

  • Feast or famine

Inconsistent pipeline means you can’t forecast, can’t staff ahead, and can’t say no to bad work when the schedule gets thin.

How it runs

A structured system,
not a mailing list.

PipeFuel operates as a managed outreach system built around your buyer profile. There is no software for you to learn and no campaigns for you to run.

  1. Define the buyer

We build your Ideal Client Profile — industry, company size, geography, job title, and explicit exclusions.

  2. Build verified lists

Prospect lists developed by title, industry, and geography, then validated. No scraping. No purchased garbage.

  3. Deploy sequenced outreach

Personalized email sequences deployed through managed, warmed sending infrastructure at safe daily volume.

  4. Route and refine

Qualified replies go straight to your team. Every cycle is tuned with performance data from the one before it.

What to expect, month by month

This builds. It doesn’t
switch on.

Commercial sales cycles run three to six months. Here’s exactly what happens and when, so nobody is guessing in Month 1.

Infrastructure

Month 1

Domain warmup runs in the background, validated lists are built, and platform configuration is completed. No outreach goes out during this phase — and that’s deliberate. Skipping warmup is the single most common reason cold email programs fail.

Ramp

Month 2

Outreach begins at controlled volume. The first performance data starts coming in. The system is actively monitored and adjusted as results accumulate.

Full volume

Month 3+

Optimization is in full effect. Open rates, reply rates, and engagement trends inform sequencing decisions. Pipeline begins to build.

Compounding

Month 6+

Decision makers who have seen your name multiple times start to engage. This is where the commercial sales cycle pays off, and where clients who committed to the window see the strongest results.

Track record

Built by people who
ran the business.

PipeFuel was built by a team with decades of experience in construction, real estate finance, and B2B sales — including 30+ years running a contracting business.

SERVPRO of the Bay Area

No commercial outreach engine, and gatekeepers blocking every channel. PipeFuel delivered qualified meetings monthly and established preferred vendor status across property management groups.

Questions

Before you book

Do you close deals for us?

No. We surface interest and route qualified replies to your team. Your people take the conversation and close it. At Tier 3 we’ll also book the meeting on your calendar, but the deal is yours to win.

Why is there no outreach in Month 1?

Month 1 is infrastructure. Sending domains have to be warmed and lists have to be built and validated before a single email goes out. Rushing this is the fastest way to land in spam permanently, so we don’t do it.

What do we need to provide?

Your Ideal Client Profile — target industries, company sizes, geography, job titles, and any exclusions — plus your website, brand voice guidance, platform access, and one internal point of contact who can approve messaging and respond to leads.

Is this compliant?

Yes. Every email carries a functional opt-out, opt-out requests are honored immediately, and we send only to validated lists within safe daily thresholds per domain. Bounced addresses are removed the same day.

What counts as a qualified reply?

A positive response from a verified decision maker indicating interest in a conversation, meeting, or next step. Autoresponders, out-of-office replies, and removal requests don’t count.

Can we control the email sequences?

You approve messaging and tone before launch, and we welcome feedback throughout. But we run the system — that’s what you’re subscribing to. Clients who want to write and manage sequences themselves are better served by software than by us.
